IDEAS V.5™ helps run your clinic from A to Z.

A prospective patient rings the clinic for information. She already knows she needs fertility treatment and is particularly interested in the clinic's pregnancy rates. The prospective patient is a 35 year old female with a history of endometriosis Grade 1. Her partner is oligospermic. The nurse enters the parameters in the computer and within seconds she can tell the prospective patients up to date clinic results through the use of the

  • Advanced Query Designer

Impressed with the speed and ease of the nurse's reply, she now asks to be sent some more information. The nurse records some basic name and address details in the

  • Demographic Details

section of IDEAS V.5™. She subsequently selects the appropriate info pack from the

  • Standard Letters and Reports, Interfacing with MS Word 2003 and Crystal Reports

option in IDEAS V.5™. With one click a letter is automatically printed with the prospective patient's name and address details. The letter may be stored in the DOCUMENTS section. 

  • Info/Task Manager

This feature tracks contacts between patient and clinic. The nurse adds a short summary of the conversation to the contacts log (so that other staff members know what's been discussed if the prospective patient rings back and speaks to someone else) and puts in a follow up date for next week to ascertain whether the prospective patient has received the information.  a confirmation that the info pack has been sent out can also be automatically sent to the patient's email address.  A few days later the prospective patient rings the clinic.  The nurse that she spoke with before is off duty that day, but by looking at the contacts log the receptionist who answered the phone knows exactly what has been discussed before.  The prospective patient would now like to book an appointment.  This is done in seconds by using the "next available appointment" feature in the

  • Integrated appointment scheduler   (with Microsoft Outlook)

Again, a letter or email confirming the appointment details can be sent automatically.  When the patient turns up for her appointment, her demographic details are completed on the computer and her partner's details are registered too.  In addition, referring physician, insurance company and other particulars are recorded.  The patient and her partner now enter the consulting room for a consultation with the physician.  The physician takes the patient's and her partner's

  • Medical Records

and records the information in IDEAS V.5™. Details regarding past medical, surgical, gynaecological and obstetric history, as well as other relevant medical details can be stored. Daily patient encounters, questionnaires or more specific research studies can be accessed in this section. They are fully templated by the user. Once defined, a simple matter of 'double-clicking' on the various options. Structured and queryable, they can form the basis of, say, a drug study.

The patients have also brought in some images from a previous exploratory laparoscopy, which can be stored in the patient's personal

  • Documents Section

along with other pictures, e.g. ultrasound scans.  Meanwhile, in the laboratory, the embryologist performs a basic semen analysis and the semen analysis data are recorded in the partner's

  • Semen Analysis Module

At a later stage, detailed semen morphology via HTR IVOS® CASA, DNA analysis, sperm survival test and immunological parameters (WHO/Kruger) will be tested and recorded in IDEAS V.5™.  For now, the embryologist sends a message to the physician using the task/info manager to notify the physician of the completed semen analysis result.  Based on the consultation, examinations and semen analysis result in a

  • Treatment Plan

once established, details are recorded in IDEAS V.5™. The patient will undergo and IVF and ICSI treatment cycle and arrangements are made with the nurses to start downregulation and stimulation.  The nurse or physician selects a

  • Standard Treatment Protocol

Physicians can create treatment protocols in IDEAS, where blood tests, ultrasound, downregulation, stimulation and luteal support drugs are automatically assigned to a treatment cycle.  The nurses now dispense drugs using IDEAS V.5™'s

  • Drug Dispensing and Stock List Features.

module.  This module, like the appointment scheduler and the investigations module is seamlessly integrated with IDEAS V.5™'s

  • Invoicing Module

IDEAS Billing can generate invoices without any additional data input. 

IDEAS V.5™ offers support for

  • National Registry integration (including SART, CARTR, HFEA, and BELRAP, (WESTAT expected Q1-2005))

The nurses

The patient undergoes some blood tests during the course of her treatment cycle, which are all recorded in the

  • Blood Tests and Other Investigations (optional integration with DPC Immulite and Biomerieux VIDAS)

module. Baseline and tracking ultrasounds are recorded by the ultrasonographer in the

  • Ultrasound Module, with Graphical Follicle Tracking Interface and Ultrasound Image Capture

The graphical follicle rendering and assay monitoring mimic most clinic's

  • Treatment Cycle Flow Sheet

Printable too. Details of E2, LH, progesterone and other hormone levels, as well as drug doses, endometrial thickness and follicle numbers and sizes are displayed and recorded on a single sheet.  When it is time for the ovum pickup, the

  • Ovum Pickup Details

are recorded on the system and the embryologist records

  • Laboratory Details

on the system as well. Each oocyte / embryo is tracked individually and each procedure is recorded as a separate procedure. IDEAS V.5™ in this way of course caters for

  • Blastocyst Culturing, Media Changes, Handling by Different Embryologists

etc, but this is all done with easy data entry options such as

  • Batch Adding, Editing and Deleting and Touch Embryo-Scoring

Of course, the system also caters for

  • Frozen / Thawed Treatment Cycles,

  • Ovum Donor / Recipient Treatment Cycles

In fact, the system features an

module, where patients can be matched based on physical characteristics. Outcome of the treatment cycle is recorded in the detailed

section, which integrates with the statistics module. One of the latest additions to IDEAS V.5™ is a fully featured

with an easy to use graphical interface allowing you to create your own tank layout and features such as reserving straws for future treatment cycles, releasing based on test results, moving and removing, manually adjusting stock levels, finding suitable semen donors based on physical characteristics and many more.  To ensure consistent and accurate data entry, IDEAS V.5™ also has a

  • Field Validation Module

where you can specify certain rules pertaining to any field in the system. For example, if you want to ensure that a date of birth field is always filled in, you can specify this in the field validation module, with your own custom message and action criteria. Other areas in the system that help ensure integrity of data are the

and an

  • Audit Trail

which automatically records any change made to data, including which record was changed by whom, when, from which computer, what the old values were, what the new values are, etc.  The system is very user friendly, but if needed, help is also always at hand.  Pressing F1 starts the
